Build Your Sales Brain Project

The first step in building a Sales Brain is creating a dedicated Claude Project. A project is not just a chat window — it's a persistent workspace that accumulates memory, stores files, and holds custom skills over time. Everything you add to it stays, and Claude draws on all of it whenever you're working within that project.

To create your project, open the Claude sidebar and navigate to Projects at the top. Click to create a new project and name it something simple like "Sales Brain." This becomes the central environment where everything lives.

Once inside, you'll notice a few key areas. The first is memory — this is where Claude automatically builds up a running understanding of your conversations over time, confined to this project. As you chat, it starts noting patterns, preferences, and context. This memory stays inside the project, so it doesn't bleed into other projects. You can have a separate Sales Brain, Content Brain, or Finance Brain, each with its own isolated memory.

The second area is instructions. This is where you can add standing directives — guidelines on tone, what to avoid, how to structure emails, or any other persistent rules. You don't need to fill this in right away; it can be built out incrementally as you identify what Claude needs to know.

The third area is files. This is where the real power of a Sales Brain starts to take shape. Think of this the same way you'd think about onboarding a new sales rep. What would you hand them on day one? Your pitch deck, a competitive overview, a list of your best case studies, your ICP definition, your writing guidelines. All of that can be uploaded here — from your device, from Google Drive, or typed directly into the interface.

Claude can extract data from PDFs, text files, and other document formats. So even if your company knowledge is locked in a slide deck or a PDF proposal, it can be processed and made available to the model during every conversation you have inside this project.

The goal at this stage is not to upload everything at once. Start lean: one or two documents that represent the most important things about what your company does, who it sells to, and why customers choose it. The next videos will walk through building more comprehensive content directly inside the project using skills.

For now, the key output is having your project created, named, and populated with at least one relevant file. With that in place, the Sales Brain has a foundation to build on — and you're ready to start teaching it the skills it needs to do real sales work.

Okay. Now before we dive into any theory or any other practical around creating skills and everything, the first thing we're going to do is we're going to set up our SalesBrain right here in Claude so that we have that ready and we can start just dropping our knowledge, our documents, and everything in there. So if you're not familiar with Claude, then you can open the left sidebar that you probably already have open, and then if you scroll all the way to the top, you'll find projects there, and you click projects. And as you can see, I've already been working on my Sales Brain, but I want to create a new one together, so we're going to call it Sales Brain, and we're going to create project.

And then once you're in there, this is what you'll see.

So there's memory, and that is project memory that will start showing after a few chats. So what that means is that as you're talking to Claude, as you're having this conversation, it will start building up a memory, and that memory is confined within the project that you're working on. So you can have multiple projects. Right?

You can have a sales brain, and you can have a content brain, and you can have a finance brain if you're doing your finances for your company, for example. They will all have separate memories, which is very, very helpful because then you can just keep building up that memory, and you can ask, hey, which campaign did great for us in the past? Or you can just one time create what I call a playbook about what it is that your company does the same way that instantly Copilot does it, but you can maybe make some tweaks that you want to have in there and then the playbooks in there, and you can just keep referencing that going forward.

Now, there are additional instructions you can add as well under here. I usually don't add them, but you can maybe talk about the types of instructions you wanna give around copywriting, about what to do, what not to do, etcetera. You can have that in there, but we're going to build separate skills for that.

And here under files, what you can do is you can upload files, obviously, and they will help you give more context to Claude about what it is that your company does, for example. So imagine you want to think about this as onboarding a new sales rep, for example. What are your decks? What, like your pitch deck, your sales deck, you name it.

Maybe you have a knowledge base about what it is that your company does. Maybe you have info from your competitors. Maybe there are just writing guidelines or anything else that you have. And you can add that here, you can upload them from your device, from Google Drive, you can actually just type in there.

And all of those files, it's able to extract data from even if it's a PDF or anything like that.

So in my case, what I'm going to do is I have frameworks here that are writing frameworks that I've been working on. And these are just frameworks that I've developed over years of being in the cold email space. And these are frameworks that I like to use when writing cold emails. I'm just gonna upload one really quickly, and then I'm gonna keep talking where it helps to give AI framework, so it doesn't have to always start from scratch when thinking about emails.

You can just tell it, hey, listen. We only use this framework for email writing and just fill in the blanks a little bit as we're reaching out to new leads. Right? So that's how frameworks work.

You can upload that here, but you can also upload, like I said, anything about your company goes in there. There is a limit to how much you can upload, but it's pretty generous limit, I would say.

So as we have that here, we have our sales brain set up. Start uploading documents about your company. Give it more context about your company. Not too much because we are going to give it a lot more context in the next video. In the next videos, should say.
